BG Volleyball Academy Privacy & Data Protection Policy (GDPR Compliant)

1. Who We Are

BG Volleyball Academy (BGVA) is a kids’ volleyball academy based in Surrey (Redhill). We collect personal information to support the safe and effective running of our programmes.

2. What Data We Collect

We may collect and store the following personal information:

  • Player names, dates of birth, and contact details
  • Parent/guardian contact details
  • Medical information (allergies, conditions, medications, etc.)
  • Emergency contact details
  • Attendance data
  • Photos and video footage (with consent)
  • Payment records (membership, camps, events)

3. Why We Collect It

We collect data in order to:

  • Run sessions, camps, and 1-1 coaching safely
  • Communicate with players and families
  • Track attendance, injuries, and player development
  • Promote BGVA events (with consent)
  • Process payments and manage subscriptions to sessions

4. How Data Is Stored

  • All digital data is stored securely on password-protected systems
  • Only relevant BGVA staff (e.g., head coach and admin manager) have access to it
  • Paper records (if any) are stored securely and destroyed once digitised Classified: RMG – Internal

5. Photo & Video Consent

Photos and videos may be used on BGVA’s website, social media, or other promotional materials only with written consent, obtained via a social media consent form. Anyone can withdraw consent at any time by contacting BGVA.

6. Sharing of Information

We do not share personal data with third parties, except:

  • In the case of medical emergencies (shared with healthcare professionals)
  • When required by law (e.g., safeguarding concerns)

7. Data Retention

  • Players’ records are kept for up to 1 year after a player leaves BGVA
  • Financial and safeguarding records may be kept longer if required by law

8. Your Rights

Under UK GDPR, you have the right to:

  • Access your data
  • Correct inaccuracies
  • Request deletion (in some cases)
  • Withdraw consent for photos or marketing at any time
